How to Respond to Google Reviews, With Example Replies
Knowing how to respond to Google reviews matters because every reply has two readers: the customer who wrote the review, and every stranger who reads it before deciding whether to call. Writing those replies is part of the review work we handle from Rome for Georgia businesses, and the routine is simple enough for any owner to run.

Replies come from the profile itself, written by an owner or a manager, and only after the business is verified. Google's steps for replying:
- Open your Business Profile and select Read reviews.
- Next to the review, select Reply.
- Write your reply in the box and select Reply again.
To change a reply later, open the same list and select Edit under it, or delete it from there.
Three things happen after you post. Google checks the reply against its content policies, which usually takes up to 10 minutes and occasionally up to 30 days, and a reply that isn't approved comes back to you for an edit. The approved reply appears under the review as the business, without your personal name. And the customer gets a notification, which is one reason a good reply sometimes leads to an updated review.
How to Reply to a Good Google Review
A reply under a good review thanks the customer in public, and Google's help says helpful replies show you're responsive to your customers. Its tips ask for replies that are conversational and free of promotions, with a detail that reinforces the customer's experience: the job, the crew, or the problem you solved for them.
Make each one specific. Google suggests spending your replies where you have something to add, such as a helpful update or an answer to a question, and a reply that names the actual work reads as a person paying attention. The same pasted thank-you under every review reads as a template.
How to Reply to Negative Google Reviews
Google's own tips for review replies are short, and they hold up on a bad day:
- Keep the reviewer's private information out of it, and skip anything that reads as a personal attack.
- Be honest about what went wrong, and explain what was outside your control without taking the blame for it.
- Apologize when an apology is owed.
- Answer what they actually said, using the name on the review, and sign off with your own name or initials.
- Reply promptly.
- Move the details off the review. When the situation is complicated, ask the reviewer to call or email so you can settle it privately. Google allows your own business phone number and email in a reply.
Write it for the next customer as much as the angry one. Google notes that people may stop reading a reply that runs too long. A short, specific answer that owns the part you got wrong reads as a business that fixes problems, while a long rebuttal reads as an argument whatever the facts were.
When a review breaks Google's policy, such as one from somebody who was never a customer, report it as well as replying. How to remove a Google review covers which reviews Google takes down.
Example Replies to a 5-Star, a Mixed and a 1-Star Review
Every review and reply in these examples is invented, written for a made-up pressure washing company, so no real customer or business is quoted.
A 5-Star Review
Example 5-star review: "Driveway and back patio look brand new. The crew showed up on time and cleaned up after themselves."
Example reply: "Thanks, Dana. That patio had years of mildew on it, so we're glad the crew got it back to its original color. We appreciate you having us out. Marcus"
A Mixed Review
Example 3-star review: "Siding came out clean, but they left streaks on the front windows and nobody called me back when I asked about it."
Example reply: "You're right, Chris, and the missed call is on us. Clean siding doesn't help much with streaks on the front windows. We'd like to come back and redo those windows, so please call the office and ask for me. Marcus"
An Unfair 1-Star Review
Example 1-star review: "Total ripoff. They charged way more than the quote."
Example reply: "We're sorry the final bill caught you off guard. Every quote we give is in writing, and when a job grows on site we call before doing the extra work, so we'd like to go over the invoice with you line by line. Please call the office and ask for me. Marcus"
Each reply leaves things out on purpose: the customer's address, the invoice amount, the details of the job file, and any argument over who said what.
What to Leave Out of Every Reply
- Anything from your records about the customer. Their last name, address, phone number, the job's price and the invoice details stay out. Google's policies bar posting a person's private information, and its reply tips say never to share a reviewer's private details.
- Health, money and legal details. A reply that confirms a medical visit, a loan or a legal matter can reveal more than the reviewer chose to share.
- Deals and promotions. Google asks businesses to keep replies conversational and leave offers out of them.
- Anything offered for a changed review. Fixing the problem is fine. Tying a discount or a refund to an edited or deleted review turns it into an incentive, which Google prohibits.
Our review management keeps replies going out the same week a review lands, each one written by a person and specific to the job.
Frequently asked questions
Should I respond to every Google review?
Yes, and the negative and mixed ones come first. A positive review gets a reply too, one that says something specific about the job, which Google's tips favor over the same thank-you under each one.
How long does it take for my reply to show up?
Google checks replies against its content policies before posting them. That usually takes up to 10 minutes and can take up to 30 days, and a reply that isn't approved comes back to you for an edit.
Can an employee or my marketing company reply for me?
Yes, once they're added to the profile. Managers can respond to reviews, and every reply posts under the business name, so the reviewer sees the business answering and never the individual's personal name.
Can I edit or delete a reply after posting it?
Yes. Open Read reviews, select Edit under your reply, change it and select Update, or delete it from the same spot. The reviewer can change their review after reading your reply too, and its date updates when they do.
The Reply the Next Customer Reads
A reply stays on the profile long after the customer who prompted it has moved on, and the people reading it haven't called you yet. Keep it short, specific and calm, keep customer details out, and answer the bad ones first.
If replies keep slipping behind the work, our review management takes over the routine for Georgia businesses, from the ask after each job to the reply that same week.
